Position Summary:
- Responsible to provide administrative support to the Executive Director and Leadership Team.
Principal Responsibilities and Duties:
- Provides administrative support to the Executive Director and Leadership Team
- Manages the Executive Director’s calendar, and coordinates with internal and external parties
- Prepares meeting agendas, and schedules meetings by reserving meeting rooms, inviting participants, arranging room and tech set-up and coordinating details with the meeting Chair
- Takes meeting minutes, confirms final edits with the meeting Chair, and distributes to participants
- Completes document edits, formatting and branding
- Prepares technology and set-ups as needed for meetings
- Coordinates meeting planning with Chair and presenters
- Provides administrative support for corporate Governance
- Plans, coordinates and posts Board meeting packages
- Maintains Board files in hard copy and soft copy
- Completes scheduling and correspondence for Board committees
- Maintains attendance, orientation and professional development records
- Provides administrative support for projects and special events
- Provides administrative support for fundraising events
- Completes tasks to support recruiting and engaging of corporate voting members
- Provides administrative support related to strategic planning and stakeholder engagement
- Supports the organization’s goals and objectives
- Provides back-up support to team members during absence and as required by the supervisor
- Works safely at all times and ensures the safety of self and others by preventing and reporting hazards
- Attends meetings, trainings and participates in SPLC activities as required
- Participates in and contributes to ongoing quality improvement activities as needed
- Any other reasonable duties that may be assigned from time to time

Qualifications:
Education:
- Post-secondary education in office administration or other related studies
Skills & Experience:
- 1 year experience in administrative support;
- Proficient in Microsoft Office (particularly Word, Excel, PowerPoint), and internet and email platforms;
- Excellent written and verbal skills in English and proven ability to develop clear, concise and comprehensive written documents; attention to detail;
- Strong typing skills, minimum 55 words per minute;
- Strong interpersonal skills and professional demeanor, relationship management, and multi-tasking and organization skills;
- Knowledge and ability with office equipment (copier, etc);
- Ability to quickly learn new tasks and systems;
- Ability to maintain priorities and meet deadlines in a fast-paced environment, working under pressure and with frequent interruptions;
- Ability to work both independently, employing sound judgement to set priorities, and work as part of a team;
- Experience in working in healthcare, social services or housing environment an asset;
- Second language an asset.
