The Receptionist is responsible for welcoming and greeting clients at our on premise conference centre, anticipating their needs and directing them to the appropriate people or boardroom location. The Receptionist is the “face” of our firm, answering all calls that come through the switchboard and providing memorable customer service experiences to both internal and external clients.
Key Responsibilities:
- Greets and welcomes visitors to the firm, determining the nature of their visit and responding to any of their needs
- Escorts visitors to cloak room and meeting location
- Provides customer service to anyone who calls the switchboard or leaves voicemail messages
- Works closely with Boardroom Services and Technical Support to ensure meetings run smoothly
- Ensures the reception area is neat
- Takes messages, as required
- May keep visitors log and/or issue visitor passes
- Updates internal floor plans and telephone directories on the firm intranet
- Receives and relays incident reports for correction, such as washroom problems, spills, etc. to Facilities
- Assists with conference and meeting room bookings
- May perform other duties, as assigned, within the nature and level of the job
Qualifications
Knowledge & Experience:
- Knowledge of phone and in-house communications systems
- Excellent communication skills – both written and verbal
- Exceptional customer service skills and professionalism
- Strong problem-solving skills and ability to think on your feet
- Demonstrated experience of taking initiative
- Strong collaborator and team player
- The ability to multi-task while maintaining professional composure at all times
- Ability to work in a fast-paced environment and respond to changing demands and priorities
- Basic computer skills, including Microsoft Office
Hours:
Monday - Friday, 9:00 am to 5:00 pm
Flexibility to work additional hours as necessary
