JOB OVERVIEW
Ontario Power Generation (OPG) is looking for a reliable and creative new graduate to join our HR team as our new HR Assistant. The role reports directly to our SVP of Human Resources providing direct support to this office while engaging in a number of interesting HR initiatives for development and practical experience.
You’ll get to see how an HR division for a large organization operates. We are a unionized workforce that has some unique challenges operating a 24-7 essential service for the province. The HR Assistant will learn from a strong leadership team that includes HR Business Partners, Compensation & Benefits, Workforce Analytics & Recruitment, Talent Management and Labour Relations.
Key Accountabilities
You’ll provide timely and reliable day to day Administrative support to our HR leadership team with a specific focus on the SVP of HR while learning how a busy HR function operates. We commit to fostering a fun place to work with great co-workers. We also commit to co-creating a development plan that will ensure you receive some professional HR experience that complements your formal education. This role is ideal for a new graduate looking for their first formal role in HR. It’s an exciting time for the HR function at OPG. We have just received approval on our long term HR strategy focused on the following pillars: Accountability, Communication, Transparency and Simplicity. You will help us to alter our work programs and facilitate changes to our approach so we live these principles in everything we do.
You’ll be helping us with the following….
- Working with leaders to help manage an efficient and effective team and providing superior executive administrative support to day-to-day activities and deliverables that include.
- Scheduling and organizing meetings, managing multiple calendars Setting up meetings and leveraging technology such as Skype for Business and MS Teams
- Booking travel arrangements, approving time exceptions and processing expenses
- Helping to project manage HR related leadership forums and gatherings
- Coordinating actions and department meetings, inviting guests as required and following up on open actions
- Being a gatekeeper for the SVP and proactively ensuring meetings that are accepted have agendas, are the right length, include pre-reads (if applicable), and that the Executive is required to attend.
- Coordinating the finalization of board memos and gathering information to develop succinct clear communication to our executive team. You will learn the fundamental of great writing in this role
In addition, you can take on some initiatives to grow you as an HR professional…..
- Support local workplace projects on Diversity Councils and establish events to create community within our workplace
- Take a leadership role in our culture improvement initiatives through your development plan and personal interests
- Learn fundaments in both the HR Business Partner and HR Speciality groups through supporting projects as required and observing certain HR related activities such as grievances, arbitrations and leadership meetings
- Providing additional ad-hoc assistance to general organizational needs as time permits.
Who are you?
- Someone who has recently graduated and is looking to start an exciting career in HR by learning on the job
- You have strong proficiency in MS Office products (Outlook, Word, Excel, PowerPoint, Visio)
- High comfort and aptitude using technology such as Skype for Business, Web Ex and MS Teams to set up collaboration meetings, store and retain documentation
- You value time management, attention to detail and problem resolution skills, with desire to set up work processes that are efficient and leverage technology – simplicity
- You are proactive and take initiative to make decisions, identify and recommend improvements in your job function, research and/or investigate issues requiring resolution to execute on assigned tasks - accountability
- You have an aptitude for creating and designing presentations along with the skills to create brief and concise well written meeting materials that keep everyone on track and organized - communication
- You demonstrate a positive, professional demeanor and a passion and interest in HR and a willingness to try and learn news things along with being coached by others improve your HR skills
