Job Purpose

  • Responsible to support key business activities that enable the effective and efficient operation of a single GTI team.
  • Responsible to support business functions, business reporting and performance management activities for a single GTI Team

 

Primary Responsibilities

 

Group management, team effectiveness and communications

• Supports the priorities and business strategy of the GTI Team, and business and technology partners

• Prepares executive communication within GTI Team (e.g. town halls; team meetings; leadership off-sites etc.)

• Prepares presentations for VP to various audiences (e.g. senior management and executives, business and technology partners, and GTI employees)

• Support the team with adherence to Business Office procedures and processes

• Support work planning activities such as resource planning functions with transit managers

• Support and manage interactions with Contract and Supplier Management Teams. Activities may include: rule & DOA changes, PAR submissions, contract reporting and billing

• Support the GTI team with HR-type activities, as required (e.g. Monitor progress against HR & Learning targets (e.g. AML, Code of Conduct, MEX, etc.)

• Interacts with management (from IT infrastructure, Operations, Applications and BUs) on the full range of matters related to team responsibilities.

• Liaison for requirements gathering and focal point for process enhancements as they relate to processes and day to day operations

 

Financial governance, planning, monitoring and reporting

• Support the GTI team in the creation and management of the Group Operating Plan including: Annual budget and forecasts to transit managers; track group savings/cost containment/cost avoidance etc.)

• Perform necessary reporting to satisfy Finance requirements

• Identify cost saving opportunities and optimization initiatives

• Contribute to the development of business cases and PARs. Track PARs and ensure appropriate adherence to PAR requirements on behalf of the GTI Team

• Support the teams in the development of pillar-specific metrics, reports and governance process to enable the effective and efficient operations of the pillar

 

Operational risk, compliance, audits and Projects and Initiatives

• Manages relationships and acts as a point of escalation/resolution for project related issues.

• Supports operational risk activities and ensures they are effectively managed and addressed

• Track control functions such as audit items, security exemptions and proactively monitors and ensures Risk Management deadlines are met and issues are resolved.

• Perform necessary reporting to satisfy risk and compliance requirements

 

Time Allocation (%)  

  • 50% Group management, team effectiveness and communications
  • 30% Financial governance, planning, monitoring and reporting
  • 20% Operational risk, compliance, audits and Projects and Initiatives

 

Qualifications & Skills  

  • Typically 5 to 7 years of related experience
  • Experience in supporting teams with focus on process and technology
  • Project Management Processes
  • University or College Degree in Business Management or equivalent
  • Finance background an asset

 

Level of Responsibility & Decision  

  • Recommends process changes that will impact the team.
  • Identify and recommend cost saving opportunities and optimization initiatives for SMT or transit owners
  • Provide recommendations in the monthly/quarterly/annual process that informs the Operating Plan
  • Recommends key metrics are to be used to support pillar executive in running their business
  • Forward looking perspective of 3 to 6 months.

 

Financial Impact 

  • Identify and recommend cost saving opportunities and optimization initiatives for SMT or transit owners
  • Provide recommendations in the monthly/quarterly/annual process that informs the Operating Plan
  • Support the development of business cases and PARs.

 

Working Conditions

  • Office environment
  • No undue fatigue, with work involving a combination of sitting, standing and walking, with freedom to move at will
  • Occasional effort (about 1 to 2 hours at a time on average) to concentrate on the preparation of written or electronic materials and the use of standard computer software. Visual attention and / or active listening is required, but the work provides for choice of action
