What is the opportunity? 

The Enterprise Strategic Client Group (ESCG) serves a select group of RBC’s most important strategic private and family ‘instividual’ client relationships.  This role is responsible for providing proactive, high-touch and integrated “One-RBC” support for the Enterprise Strategic Client Group (ESCG), including end-to-end administration, reporting support, high touch calendar/travel/event co-ordination, and assisting in maintaining up to date client relationship management information. Working with senior leaders, ESCG client facing roles, cross functional partners and enterprise client family-business connections in a highly agile and client-centric environment, this role adds value by: assisting in development of client/business presentations, engaging with client/family office contacts and executives/senior leaders for management of calendars, and providing direct support to ESCG for complex travel planning, expense management, invoice & accounts payable, asset management and program support for special initiatives.  

What will you do?

  • Calendar Management - Provide support including prioritizing scheduling and managing conflicts; booking of team meetings, utilizing WebEx and Conference details. Proactively seek opportunities to provide additional value added service to ensure all established deadlines/commitments are met.
  • Inventory / Asset Management - Proactive office supply management, effective problem resolution and ability to navigate and process required RBC forms.
  • Expenses - On monthly basis, process expenses and balance to statements regularly review expenses and usage (e.g., expense report review, telephone usage reports).  Ensure expense reimbursement is within the expense report guidelines; Validate expense reports.
  • RBC Systems/MyMarketplace/MyProcurement orders/requests - Effectively navigate internal systems and technology; place requests for supplies and keep record of approvals; ensure adequate supply items for office flow.
  • Travel Arrangements - Managing detailed executive travel arrangements (flights, cars, itineraries), fulfillment compliance-related travel requirements (e.g. Short-term business travel tracking)
  • Equipment Management, team onboarding and technical support escalations - Responsible for facility management co-ordination and tracking including equipment ordering, working with functional partners for technical support escalations, seamless onboarding of new team members (e.g. port activation, telephony, equipment, access) and asset collection during off-boarding.
  • Event Coordination - Provide support, when required, for both ad hoc and/or ESCG sponsored client events such as invites, RSVPs, client follow up, client ticket distribution and CRM updates.
  • Client Support - Assist in the management and collection, integrity and accuracy of CRM tools and data management; assist in consolidation and synthesis of research material in clear, coherent manner; assist in effective problem resolution and investigation in client queries, assuming “joint” accountability and proactive ownership, ensuring achievement of team deliverables; assist in preparation of client / business presentations and materials.

What do you need to succeed?

  • 5+ years previous experience as an Executive Administrative Assistant supporting executive level (Director, VP, SVP, Group Head);
  • Operations support experience;
  • Problem resolution & comfort with ambiguity at Business/Function level;
  • Exceptional planning and logistical skills, including experience co-ordinating and planning Events;
  • Strong attention to detail and privacy/confidentiality
  • Outstanding verbal and written communication skills;
  • Fully proficient with MS Office (Word, Excel, PowerPoint, and Outlook);
  • Ability to multi-task and prioritize and work independently under tight deadlines in a fast-paced environment;
  • Ability to work well within a team environment and take ownership of team deliverables
