Job Description

This position is responsible to be the first point of contact for any guest visiting the office.  This role would provide support by welcoming and directing guests and ensuring they are directed appropriately.  This role would provide administrative support to ensure the office runs smoothly, by assisting with filing, ordering supplies, assisting with scheduling and communication via phone and email. A high level of detail is necessary to ensure that all administrative duties are completed accurately and delivered with high quality and in a timely manner. 


  • Greet visitors, customers, and suppliers in a professional and hospitable manner 
  • Perform related clerical duties such as word processing, maintaining filing and record systems, faxing and photocopying 
  • Answer and direct phone calls 
  • Organize and schedule meetings and appointments 
  • Maintain contact lists 
  • Produce and distribute correspondence memos, letters, faxes and forms 
  • Order office supplies 
  • Book travel arrangements 
  • Conduct bookkeeping functions including invoicing, submitting and reconciling expense reports for multiple leaders 
  • Provide information by answering questions and requests 
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies 
  • Take accurate minutes of meetings 
  • Perform other duties as assigned by management 

Skills & Requirements:

  • Completion of College in a related field or 2-3 years of related experience 
  • Basic accounting skills with proficiency in QuickBooks 
  • Knowledge of office management systems and procedures 
  • Excellent time management skills and ability to multi-task, prioritize work, follow through with tasks until completion
  • Attention to detail and problem-solving skills 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills 
  • Ability to maintain social media presence (Facebook, Instagram, Twitter, YouTube, Blogs) 
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook are also required 
  • Willingness to work after hours events, evenings, and weekends as needed 
  • High level of confidentiality dealing with sensitive information 
  • Flexibility to work and end shifts at different times every day
