What you will be doing:

  • Assist with organization and processes within the branch/department
  • Prepare monthly and weekly reports with high accuracy, distribution of these reports to the appropriate parties
  • Gather various logistical data for reporting
  • Arrange meetings and actively assist in any preparations e.g., booking rooms, preparing agendas and presentation materials
  • Prepare, distribute and update correspondence, reports and memos related to the Manager’s needs
  • Communicate with all departments of Panalpina, staff, and outside clients as required, and be able to problem solve and/or delegate matters to the correct individuals
  • Co-ordinate and proactively manage the scheduling of appointments of the Business Unit Manager as well as monitor the daily agenda, to-do list, weekly and monthly calendar of the Business Unit Manager
  • Co-ordinate (screen, forward or reply as needed) to incoming phone calls, emails and correspondence required by the Business Unit Manager
  • Follow up on various issues, be able to delegate, ask appropriate questions to resolve outstanding matters
  • Assist in sales department organization and processes
  • Distribute local SAP FI reports by sales rep (BOB)
  • Prepare preliminary CRM report and monitoring of CRM input
  • Prepare weekly sales reports for sales team and distribute to appropriate parties
  • Communicate with sales staff (inside/outside) on any specific client and/or operational problems
  • Preparation of internal statistics
  • Account assignment / Account transfer
  • Ensure proper client set up as per Panalpina quality process: co-ordinate with Credit Department and Operations
  • Coordination of monthly sales meeting, preparation & distribution of minutes
  • Prepare, distribute and update all correspondences, reports and memos related to the Sales Department
  • Co-ordinate monthly expense reporting of Sales Team
  • Internal co-ordination, tracking and distribution of quotations to appropriate internal parties
  • Assist in distribution of rates, maintenance of rates binders and updating of quotations
  • Coordination & roll out of local customer events & meetings
  • Manage department SOP’s and procedural binders
  • Assist routing of incoming calls to the appropriate department, i.e. sales, customer service, and operations
  • Receive incoming calls and assist customers while sales staff is out of the office
  • Maintain office supplies and promotional give-aways for sales department maintaining sales budget
  • Maintenance and coordination of department equipment
  • Assist in other administrative tasks as required




For recent graduates: Education in Supply Chain Management, International Business or Sales. 


For New Comer's in Canada: Experience from a Supply Chain background or Freight Forwarding background.
