We are presently recruiting for an Administrative Assistant reporting to the Business Excellence Lead and Pricing & Customer Service Lead, Allergan Aesthetics. This position is full-time contract and is based at the Markham head office. As the primary point of contact and main liaison for the two teams, the Administrative Assistant oversees all administrative activities for the two division leads and their teams.

Responsibilities:

  • Provide administrative support to the Business Excellence Head, which may include travel arrangements and preparation and submission of expense report through Concur, management of schedule, editing of slide presentations.
  • Provide accurate administrative support by composing, and/or editing a variety of documents. This includes confidential correspondence, contracts and proposals
  • Assist with compliance monitoring of key SOPs for the organization.  This includes validating the appropriate documentation and processes of samples taken throughout the year.
  • Facilitate creation of POs, and payment of vendor invoices through the SAP platform. Collaborate closely with Finance, Legal and Compliance for the required documentation
  • Organize departmental activities such as: planning meetings, team-building events, cross-functional meetings; collaborate with other stakeholders as necessary
  • Assist with the on-boarding requirements for new employees
  • Assist in the management and coordination of various projects as needed
  • Assist in presentations, reports and analysis that support the business
  • Provide administrative support and help with organizational tasks where necessary for the general business.

Skills:

  • Excellent grasp of English language (written and verbal);
  • Intermediate to advanced working knowledge of the full Microsoft Office Suite; Highly organized with the ability to thrive in a fast-paced environment, manage multiple priorities and work with minimal supervision;
  • Friendly and personable with the ability to build positive working relationships with clients, co-workers and internal and external customers;

Minimum Qualifications:

  • College diploma with office administrative certificate;
  • 5 years of executive /administrative work experience;
  • Excellent inter-personal skills and the ability to take initiative
  • Previous knowledge of Concur and SRM would be beneficial.
  • Good understanding of the Canadian pharmaceutical marketplace is preferred.
