TW Emergency Preparedness Program Intern
The TW Emergency Preparedness Program is critical to the development of a risk management culture in Toronto Water and to the development, implementation, auditing and continual improvement of the Corporate and Division emergency, environment, health, safety, quality and risk management systems required to understand and meet regulatory requirements. TW is currently seeking a candidate to support the ongoing activities of the Emergency Preparedness Program.
Reporting to the Senior Specialist Compliance (Emergency Preparedness), specific responsibilities of the Intern are as follows:
Major Responsibilities:
- Provide support to the development and conduct of emergency exercises at various levels with Toronto Water, City of Toronto and External Stakeholders
- Engages in Toronto Water's annual DWQMS risk assessment by orientating, preparing and documenting risk assessment activities during client sessions; risk assessment informs Infrastructure renewal plans and plays a critical role in helping Toronto Water meet its legislative requirements
- Assist in emergency response activities in the event of incidents or disruptions; supporting clients in activating plans, monitoring data and contributing to organizational emergency status reports, coordinating emerging issues with relevant stakeholders
- Gather critical data required to analyze Emergency Preparedness Program performance, creating and managing program metrics, developing visualization tools (i.e. dashboards, reports)
- Creating, managing and distributing Emergency Preparedness project and program reports for various stakeholders; evaluating and monitoring project processes and performing regular project analysis; identifying process improvements
- Aid in the development and maintenance of Toronto Water business continuity and risk specific plans, engaging with clients, validating existing plans and coordinating the development of new plans
- Supports Toronto Water's preparedness training activities, contributing to the evolution of training curriculum, designing and/or making updates to internal websites and newsletters, coordinating training events, schedules and assisting with delivery of sessions
- Managing and maintaining complex information retrieval systems, databases and data repository's that are critical to the Toronto Water's ongoing emergency preparedness activities, coordinating timely and accurate document control procedures to ensure accuracy and compliance standards continue to be met
- Developing project management and business process management tools (i.e. process mapping, change management) that support greater program efficiencies, contributing to business process design/re-design activities with clients (i.e. contingency plan actions for business units, continuing vs discontinuing business processes etc.)
- Developing presentation materials, reports, spreadsheets, graphs and charts, using various software packages including PowerPoint, Publisher, Project and Visio for a variety of internal and client reports
Key Qualifications:
Your application must describe your qualifications as they relate to:
1. Considerable experience utilizing a variety of software packages with advanced practical application in Word, Excel, PowerPoint and MS Access, MS Publisher, MS Project, Visio
2. Considerable experience in business continuity specialist, emergency management specialist, business analyst or project analyst oriented environment, some of which must be specifically related to the actual job duties (i.e. creating and managing program metrics; coordinating training events; managing and maintaining complex information retrieval systems, identifying process improvements etc.)
3. Experience conducting Business Analysis and/or Project Analysis techniques is desirable
4. Some experience and/or awareness in Emergency Management and/or Business Continuity environment considered a strong asset
5. Awareness of management systems (BSI, ISO, CSA, NFPA) and/or professional standards (CSSC, IIBA, PMI, APM, DRI, BCI) considered an asset
