About the Job

To continue to build our team we are seeking a qualified Office Administrative Assistant to join our team and to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly. The position is a full-time role and will provide support for the Accounting, HR and IT departments as well as some corporate support as required.

Responsibilities

  • Follow office workflow procedures to ensure maximum efficiency
  • Purchase office supplies, maintain and record inventory and do research on deals and new suppliers
  • Assist in vendor relationship management (i.e., handle cleaning services contract, negotiate with vendors, etc.)
  • Liaise with our IT, Phone and HR companies to handle requests and provide support
  • Arrange travel bookings for executives
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist with the onboarding process (i.e., purchase equipment, issue access cards, ERP/email setup, etc.)
  • Assist with the employee off-boarding process (i.e., collect assigned equipment, deactivate access card, ERP/email setup, etc.)
  • Manage various office admin functions: electronic & hard copy filling, assist company events, research and fill out the forms from different vendors as needed
  • Assist with administration of customer rebate program
  • Maintain and update contact and equipment list
  • Support with other various administrative tasks as assigned

Qualifications

  • At least 1 year of experience within a similar role
  • Knowledge office management systems and procedures
  • Knowledge and experience in IT would be a plus
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Strong attention to detail; Reliable with patience and professionalism
  • A team player with high level of dedication
  • Ability to work under strict deadlines
  • Tech Savvy with proven MS Office skills (MS Excel, Word and PowerPoint) and working knowledge of office equipment
  • Administration diploma or equivalent is required
