Job Description:

Access Alliance Multicultural Health and Community Services is a Community Health Centre that aims to improve health outcomes for the most vulnerable immigrants, refugees, and their communities. We do this by facilitating access to services and addressing systemic inequities. The Centre envisions a future in which diverse individuals, families and communities can achieve health with dignity.

As a member of the finance team within the corporate office, the Finance and Accounting Associate is responsible for general corporate support for the team. Reporting to the Director of Finance and Operations, we are looking for a motivated, self-directed individual to support the workflow of the finance team to meet the strategic and operational goals of Access Alliance.


Assists with accounting and finance functions

  • Assist with the preparation of the fiscal yearly budgets in consultation with senior staff
  • Contributes to the development of project budgets and workplans in consultation with appropriate staff
  • Monitors approved budget and reviews all financial transactions and commitments of the organization and brings to the attention of the Director any unusual observations
  • Ensures programs spend within their approved plans and meet all financial commitments
  • Assist in all external financial reporting functions in consultation with appropriate staff
  • Monitors, anticipates and reports cash flow status and requirements of organization

Coordinates the financial activities for the organization

  • Reviews monthly journal entries
  • Assists in the preparation and review of monthly financial statements
  • Assists with preparation of monthly or quarterly funder reports as required, in consultation with appropriate staff
  • Conducts account variance analysis and analysis of resource usage of organization
  • Prepares for year-end review and audit engagements by liaising with external auditors and compiling necessary information
  • Interpreting and managing financial component of funder agreements
  • Prepare reports to help with decision support and scenario planning

Assist in financial administrative activities for the organization

  • Maintains capital equipment records
  • Monitors office equipment leases
  • Prepares, processes and files all necessary government payments and forms (GST, EHT, CCR, Revenue Canada and Charities returns, etc.)
  • Develops and monitors accounting control systems
  • Contract management
  • Prepares and processes bank deposits
  • Processes government forms including GST, EHT and yearly requirements of corporations act

Assists in Accounts payable and payroll:

  • Process weekly cheques run:  Ensure proper authorization of payment requests and accurate account coding; ensure that purchase order forms are attached to the related invoices, obtain required signatures, distribute cheques and scan/file paid documents.
  • Respond to supplier and employee inquiries re payments and resolve problems.
  • Accounts receivable:  prepare invoices for other billings (reimbursements/charge backs), reconcile outstanding receivables; Follow up on outstanding receivables.
  • Prepare bank deposit, go to the bank and enter deposits into Quick Books.
  • Reconcile monthly bank accounts and emergency fund account.
  • Assist in annual audit process and complete annual (year-end) reconciliation reports.
  • Print reports for program staff/managers upon request.
  • Back up for payroll and accounting officer during vacation and other absences.
  • Other Ad hoc duties as required.


  • Undergraduate degree from a relevant discipline desirable
  • Preferred Professional accounting designation (i.e. CMA, CGA or CA)
  • 3 – 5 years progressive financial management experience in a non-profit organization; preferably in a health setting preferred
  • Proficiency in the use of computers and various software applications including QuickBooks
  • Excellent oral and written skills.
  • Excellent interpersonal skills.
  • Verbal and written fluency in a second language is an asset.
  • Demonstrated commitment  to anti-racist practice and principles
  • Ability to prioritize work appropriately and work to deadlines
