Job Description:

Job Title: Coordinator

Reports to: Senior Director, Agile CoE

Department: Agile Centre of Excellence

Job Purpose

This role supports the Senior Director Agile CoE and team in day-to-day coordination and administrative activities to deliver on the department’s mandate.

Job Accountabilities

Provide day-to-day coordination and administrative support to Senior Director Agile CoE and team
Support in expense management activities – compile / review expense reports, coordinate travel authorizations, review corporate card expenses, etc.
Assist with development and compilation of compliance reports and presentation materials for internal and external stakeholders, as directed.
Plan, organize and facilitate logistics for team training sessions.
Organize team meetings, create and distribute minutes including follow-up, Q&A documents and the assignment of action items, if required, to ensure follow-up.
Monitor department-specific projects to ensure alignment with team goals and objectives.
Coordinate events and/or meetings with internal and external stakeholders (training and annual conferences) to ensure smooth execution.
Prepare and/or process various documents, including, but not limited to, correspondence, purchase requisitions, etc. to ensure timely resolution of issues and/or requests.
Responsible for the design, implementation and management of the Agile COE SharePoint Site and documentation control
Liaise with Finance to confirm correct budget coding and funds available when creating requisitions for agency contracts
Monitor agency contract spend; identify any issues and actions to mitigate issue
Act as the secretariat for governance committees, leading the process to engage and work with committee chairpersons to ensure committees operate appropriately, keeping committee charters up to date, and maintaining master action and master issue logs for all governance committees

Knowledge and Education

Understanding of OLG’s business preferred.
Post-secondary education required. 
Ability to perform daily clerical functions such as manage multiple calendars, preparing correspondence, receiving visitors and arranging meeting rooms and conference calls.
Proficiency with PowerPoint, Word, Excel, etc.

Experience

3+ years in a related coordinator role
Work experience in a regulated environment
