Assistant, Administrative

 

Under the general direction of the Supervisor, Land Management the candidate will perform administrative duties to support the Realty Services Division. Responsible to provide timely and accurate administrative and clerical support. Using advanced computer skills and strong organization abilities, aids in the efficient day-to-day operation of the team.

 

Duties and Responsibilities

 

Provide administrative support to the Realty Services Division including, but not limited to scheduling of meetings, electronic filing and organizing of records, monitoring, tracking of information and processing mail.

Preparation and organization of correspondence, reports, spreadsheets, files and ensuring all necessary documents are well-maintained and organized.
Communicate with clients by answering phone calls, responding to email inquiries, and making follow-up calls.
Respond to general inquiries and requests for information, handle complaints and issues or direct to appropriate person.
Perform basic tracking and data entry tasks and ensure accuracy of information.
Track, input and prepare reports for time and reporting on SAP as required.
Works collaboratively with the Lease Administrator as it pertains to accounts payable, accounts receivable and agreement administration.
Other duties as assigned.

 

Skills and Qualifications

 

Post Secondary Education
Minimum 2 years of experience in administrative/business support
Strong proficiency in computer applications such as Microsoft Office, (Outlook, Word, Excel, PowerPoint), are required. Experience in use of SharePoint, OmniRim and SAP is an asset.
Excellent analytical and organizational skills with an ability to manage multiple projects and priorities, under pressing deadlines, are essential.
Ability to work as part of a team with a demonstrated ability to collaborate and work in consultation with internal staff as well as external stakeholders required.
Excellent verbal and written communication skills. Must have strong organizational, problem-solving skills.
